The conference is a chance to reach out to workers in your industry, to make connections with prospective clients, to cement a new relationship or to share your successes within your business. Not everyone is a natural when it comes to putting a good conference together, but with a few of our tips and a nudge in the right direction, a potentially stressful task can be a cinch. Here are our top 3 tips to planning a successful conference.

Planning. Obvious we know, and we don’t want to keep banging on about it, but planning, planning, planning. A great plan will become your best friend and ensure any conference or meeting is a success. We’re not just talking about what you’re going to need and how you’re going to do it, but also when, at what cost, who is attending and how many you’re going to have to seat. Everything should be considered in your plan, but more importantly, it should be traceable, which brings us succinctly to top tip number two: the checklist.

Checklists are incredibly useful. Whether it’s scribbled on a napkin in the cafeteria or a multi tabbed highly polished excel spreadsheet with accompanying timeline, a checklist is a must when organising any event, big or small. You might be able to recite Pi to the umpteenth decimal place, but as soon as the stress of an approaching conference creeps in, or another bit of work gets in the way of your organising, you’ll find that things are easy to forget. A checklist will ensure you not only complete a task, but you do it at the right time, not rushed when remembered at the last minute.

Our third tip is possibly the most important. Before anything, before the planning, prior to the checklist, just after you realise that you’re going to be organising a meeting, take some time to work out what kind of conference it is you’re going to be planning. How many people need to attend the conference? Do you need a conference, or would a smaller meeting with fewer, more influential attendees work better and save time and money? Where should you hold it; on company premises or outside of the workplace? How much time is it going to take and how many speakers? There are endless questions that need to be answered before you start planning, and the more that you can answer initially, the better off you’re going to be down the line.
