Finding And Hiring Entertainment

So you're planning a huge event, either for your own corporation or for a convention of some sort. In addition to all of the professional activities, breakout groups, and speakers, you want to have at least one session devoted to entertainment. Having a break like this, especially if your event lasts a few days, is a good way to give attendees time to just relax, get to know each other, and have a nice break from the more work-related sessions that will take up most of the agenda.

Where to Look for Entertainment?
There are several ways to find the perfect entertainer for your event. You can always look in the yellow pages, although with the Internet now available, you may not find as many listings as you once did. Instead, going to Yahoo or Google and looking for the particular type of entertainment you want or searching for entertainment in your area is probably going to yield better results. You can use all sorts of keywords to narrow down your search. "Kansas City" +magician will return only magicians who are in Kansas City, for example, so you don't have to waste time weeding out entertainers who aren't available.

What Kind of Entertainment?
It's sometimes hard to decide on what kind of entertainment you want to hire. Some entertainers are a bit too specialized. Bands, for example, may not appeal to everyone in attendance. The same goes with a comedian. Theatre or dance groups can be a good choice, although they sometimes need a large performance space. Magicians, of course, are always a good choice since they appeal to a wide audience and can perform shows on large stages or walk around performing smaller tricks.

When to Contact Them?
The answer to this is easy: as soon as you decide on what kind of entertainment you want and which specific entertainer, contact them immediately. Many entertainers can be booked months in advance, so it's best to get your event locked in as soon as possible. Some entertainers might have specific requests, too, like stage size, lighting, or sound equipment, so the sooner you can factor those things into your event, the better.

Things to Discuss
You'll want to be sure that you and your entertainer are in complete agreement about several things. First, of course, is price. Second, the date and time. Third, what the entertainer needs to put on his show. This includes pre- and post-show requests (dressing room, etc.) plus any props or equipment needed during the show itself. If possible, it really helps to do a walk-through of the venue with the entertainer or their representative before the event.
